Our Goals
The first step in managing any property is to understand what the owner's goals are for the property. Once we understand what your priorities are we can appropriately tend to all the needs of your property. If you have tenants in your property we will cultivate a strong relationship with your current tenants. We send out written letters notifying them that Windermere Voss Property Management is your managing agent, and we explain to them what we do. This is including but not limited to; our contact information, how and where to pay rent, rules and regulations, new rental/lease agreements and any other paper work they will need. If you don't currently have tenants at your property we will start marketing your property to fill the vacancy. We have found that providing a personal approach with our tenants helps not only in the transition process, but it helps us build a strong relationship with each tenant. Having a strong relationship and good communication with tenants helps to ensure longevity.
Rental Evaluation
We are constantly aware of the changing market conditions. Rental prices can fluctuate yearly or even monthly. We will give you a range of what your rental property will rent for based on other properties similar to yours. We will assess your property's condition and do a full inspection of your property. We will be looking and taking photos of interior, exterior and landscaping. We will recommend repairs, painting, yard maintenance, or general upkeep that may be necessary to attract a quality tenant. We will document any damages we find and help you to set up a plan for short and long term costs. This will also help maximize your curb appeal, maintain your property's value and rental value. We want to protect your investment.
Preparation of advertising
Windermere Voss Property Management has a comprehensive approach to marketing your property, to provide the best exposure to the most qualified potential tenants. We"ll start by helping you prepare your property so it makes a good first impression, which will reduce vacancy time and help you get the best rental price. Here are some other steps we'll take to market your property:
- Photographs will be taken to highlight the property's best features. These photos will be used in marketing flyers and websites targeted to get the most qualified tenants and agents. This will allow potential tenants everywhere to see the unique features that set your property apart from others.
- As soon as your property is listed, we will input it into windermerevpm.com, Trulia, Zillow, Facebook, and craigslist.
- Simultaneously, it will be listed on Windermere.com, which receives an average of one million monthly visits. Here potential tenants can search for rental properties in the areas they choose, view photo galleries and property details, and even print out a flyer of your property.
- We'll also post Windermere's For Rent sign on your property where applicable, allowing prospective tenants in the area to know it's on the market, and that they can expect Windermere's high standard of service if they choose to rent there. It will provide them with all the information they need to learn more about the property and contact a property manager.
Preparation of rental/ lease agreements/check-in process
Windermere Voss Property Management handles all the paperwork for you. Here are some of the steps we take:
- Execution of rental/lease agreement
- Pet, lead based paint, mole and other addendums
- State required disclosures
- Utility transfers
- Move in condition report
- HOA rules and regulations
- Transfer of keys
- Collection of all security deposits including first rents (deposited into FDIC insured client trust account)
- Meet with tenant at property to go over all the details of the property
- Meet with tenant at the property to go over all paperwork and give copies
- Digital photo documentation of the property for your file (each new lease/Tennant)
Collection of deposits and rental fees
We require all tenants to pay ample security deposits to ensure their pledge of complying with the terms of the rental agreement. All security deposits are kept in your Client Trust Security Deposit Account. If a tenant moves out, they need to meet all conditions of the deposit refund sheet to get their deposit refunded back.
We collect and process all rent monies from tenants. We will enforce on-time rent payment and handle any non-sufficient funds we may receive. We will review each year all lease agreements to assure you are receiving the best income from your investment. Rent is due on the 1st and is legally late on the 5th. Tenants who don't have rent in by the 5th will be served a 72-hour notice to pay or vacate. We don't accept partial payments on rents.
Qualification of prospective tenants
We have a very complete and thorough tenant application process. This includes pulling a full credit check, a nationwide criminal background check, rental history, job history, and reference checks. Tenants must meet our guidelines in all of these areas to rent through us.

Maintenance
We have a full service construction company that cares for our properties, they are all licensed, insured and bonded. We have a great team put together if your property ever needs repairs. We respond to all maintenance requests within 24 hours. If it is an emergency, it is handled right away. Our maintenance team is on call 24/7. When a move-out occurs we go through the unit and fill out a detailed report. We make any repairs that need to be done and complete a full detailed clean of the unit, including carpets and windows. When there are repairs that need to take place, we will call you and give you a detailed report on these along with photos. We also can coordinate and supervise insurance claims if one needs to be filed for any reason. We treat your property like our own and want to insure that it is always well maintained and holding it's market value!
Disbursement of funds on owners behalf
We manage and make payments for mortgages, utilities, HOA expenses, insurance and any other property bill you might need paid out of your client trust account. Having your property bills paid by us through your client trust account is a great benefit when it comes time for taxes as everything financially done on or for your property is in one place and itemized on your year end statement. We keep all bill stubs and receipts as well.
Pets
Pets are not a protected class unless they are a companion animal (this comes with a written form from the doctor). All tenants who have pets will pay a pet deposit. You can choose whether or not you would like pets on your property. If you choose to, we accept dogs and cats for a refundable deposit of $200. All animals must be approved with an acceptable pet reference from the previous landlord, and our staff must meet and verify that all animals have up to date vaccines and are licensed.
Management Fees
Our fee is based on a percentage of the gross monthly rents collected. Please contact us to discuss our fee structure, as every client and property have different needs.
